Tips for Successful Ribbon Cutting Events, Product Launches and Promotional Events for your Company

Tips for Successful Ribbon Cutting Events, Product Launches and Promotional Events for your Company

So you are organising an event for your company, and you are thinking that it will be overwhelming, expensive, time-consuming … the list goes on.

However despite all of the hard work involved, these events are a very effective way to connect with your customers and suppliers. You can use events such as product launches to promote your new product successfully by ensuring that everything runs smoothly so that you make the best possible first impression. You can also use the event as a way of generating publicity and press coverage which can include social media mentions, online articles, printed reports in local or national newspapers and of course local and national TV. When you consider what a great opportunity for publicity your event can be you will want to make sure that you get all elements of the event to look fantastic and AKGraphics can help you with that.

Event Graphics Dublin Carlow by AKGraphics

So, what can we help you with? We think it’s a good idea to really focus on the most important elements of your event. Within the last 8 weeks we have worked with a number of our clients to make sure that their launches are a success and you will see some examples of our design work for them in our tips below.

1. Set the tone with INVITATION DESIGN

Your invitation design will set the tone for your event and it should depict the atmosphere of your event. AKGraphics will also discuss your options on the different types of invitations that are appropriate for corporate events.

For example you might not want or need to send physical invitations by post. In that case an online custom invitation is an ideal solution. They allow you to send and track the invitations quickly and easily. Plus once the digital invitations are received your intended delegates can rsvp immediately online. If you are organising an event whether large or small, online email invitations are a great tool to consider. Recently, AKGraphics designed an email invitation for UCD, which greatly helped the success of their event.

However if your event has a more formal feel a beautifully designed printed invitation may be a more appropriate option. AKGraphics will design your bespoke invitations and we will also present options on print finished such as foils and custom or unusual shapes. These special touches will ensure that the recipient of your invitation is eager to attend your event. Paper types and coloured envelopes can also add a special feel to your custom designed invitation. Below is our invitation design for Walsh Whiskey Distillery ribbon cutting event. You can read more about this event invitation design here.

Of course if your event is open to your entire target market an open invitation in the form of a flyer, newspaper advert and online adverts will ensure that you reach a large audience. In this case the newspaper advert or online advert design needs to catch your target market’s attention and it needs to tempt them to attend your event. An effective example of this type of engaging and informative invitation design can be viewed below, where AKGraphics designed this invitation for Keenan’s Open Day.

2. Give out branded items that your attendees will take home with them

Although your event may only last one day or a few hours you will want the positive impact of the day to stay with your target market for longer than that.

It might be essential to give the attendees something, for example at a recent seminar for UCD Bord na Gaelic each delegate needed a printed schedule to follow the times and topics of each speaker. AKGraphics designed this booklet so that it was clear, concise, welcoming and informative. UCD were also able to use the design on a large presentation on a screen as a backdrop at the event. Read more about our bespoke branded items that helped make UCD’s event a success.

Another nice option for events is to give the attendees a gift to take home. For the Walsh Whiskey Distillery ribbon cutting, AKGraphics designed a custom gift bag which were given to each attendee after being filled with a variety of branded gifts, including a custom designed box with whiskey tasting glass. Gift bags can be designed by AKGraphics to be any size and to match to your branding, in the case of Walsh Whiskey the bag also featured a copper foil to add a touch of luxury and prestige.

3. Brand your event with a range of DISPLAY SOLUTIONS these will all appear in photos / videos taken at the event

Of course items used to dress your event space will make the area look nice but the true role of these display items is to brand your event. You must remember that there will be many photographs taken at the event and possible even videos. It should be your aim that your company branding comes across in these photos and that the overall look of the event is memorable for all the potential customers attending.

At the recent ribbon cutting for Walsh Whiskey Distillery working alongside a PR company AKGraphics designed many of the display solutions that enhanced the launch day. These included large branded flags, temporary signage for the ribbon cutting, permanent signage which featured custom crafted oak elements. Also used were displays featuring the many different Whiskey box packaging designed by AKGraphics also. The ribbon cutting event received heavy press coverage which is always important when promoting a new product or service.

If your event is taking place in a venue other that your own premises it will be important to focus your display solutions on portable options that you can use multiple times at different events. This means that you will get more use out of these display options. At the Keenan open day event that we worked on we designed flags and display boards. These are an ideal solution to add instant branding to any area and the  flags and boards could be seen on the coverage from the RTE News.

If your event was carefully planned and executed well you will see the benefits in a stronger relationship with your target market, better brand awareness through the press coverage you will receive and increased product or service sales. Take for example the press received by the Keenan Open Day event which featured on the Six One news and Nine O’Clock News on RTE. The Walsh Whiskey Distillery ribbon cutting event also received impressive world-wide press coverage and publicity from a number of different outlets.

AKGraphics is a graphic design agency with over 22 year experience and because of this we are the ideal company to help you with some or all aspects of your event. From start to finish we will ensure that your event looks great and your attendees are left with positive memories associated with your brand. Present your product professionally with a 3D mock up

Whether you are pitching an idea for a new product or experimenting with new packaging design ideas for an existing product, a 3D mock-up is a useful tool to wow your target market visually. A 3D mockup (digital mock up) helps put your mind at ease by giving you a feel of how your product will look much earlier than when it is on the shelves.

The packaging design can be discussed and decisions on the design can be made more quickly. It also allows your intended customer to comment on your proposed product. By getting direct feedback from your exact target market you can make any changes needed to the packaging design before it goes into production.

AK Graphics can design and create your 3D mockup, helping you to:

  • save on photography and physical packaging mock up costs
  • see how your product will look on the shelves
  • get a visual of your product more quickly than with a physical mock up, which can be used in promotional material
  • visualise your packaging concept more easily
  • receive instant feedback from your customers regarding your proposed product packaging

Here is an example of a 3D mock-up that was designed from scratch. The client needed the mock-ups in a hurry for a very specific international trade show, so the best solution was to design 3D mockups. Starting with a basic cube you can see how effective a 3D mock up can be. This mock up was made to test how this new product would be received on the market. The photorealism adds to the presentation of the product. In order to meet the extremely tight deadline, AKGraphics made the decision to design a digital 3D mockup of the hydro monitrix full product range instead of producing physical boxes. Once the client had approved the completed packaging design, we then produced photorealistic mockups of each box. AKGraphics designed promotional flyers using these 3D mock-ups, which were printed in time for the event. This solution allowed our client to make a professional presentation in a short time.

For presentation of the product at the trade show AKGraphics designed packaging, leaflets, presentation boards for display units and a PDF presentation.

Additional promotional material where a 3D mock up could be used…

– print advertising/online advertising

– portable pull up banners

– print material

– presentations/ PDF or powerpoint

– vouchers

– flyers/ brochures

What is an infographic?

Infographics are visual representations of information that you see everyday without realising. The washing instructions on your clothes tag, following the illustrated instructions for building your flatpack furniture, reading a map and even crossing the road at the light of the green man – these are all infographics.

Infographics are used to communicate information quickly, clearly and attract and maintain attention. They are particularly effective when you have a lot of text or number heavy content.

Without knowing the term infographics you might refer to these as; graphs / piecharts, illustrations, clip art, icons, symbols or information design but it’s up to us to understand that you mean infographics!

Goboof – The Alfa Portable Vaporizer

Instructional infographics were designed for Goboof – The Alfa Portable Vaporizer, to be found within the designed User Manual to visually describe how to use this product.

AKGraphics designed the full packaging suite for Goboof. Our infographics illustrated the product’s many features; using the product, cleaning the product etc. The infographics for the downloadable User Manual were simplified to be used as web icons on also.

University College Dublin

In AKGraphics we often design infographics for various Annual Reports to make complicated information or statistics visually attractive and easier to comprehend.

This is evident in our Annual Report designs for UCD Report of the President; 2013 and 2014. By using well designed infographics, important facts and figures quickly communicate a strong message. Condensing text content and applying good design with strong colourful graphics makes an annual report more digestible for its intended target market. We’ve also created information graphics for the Annual reports of UCD College of Business (UCD Michael Smurfit Graduate Business School) in 2013 and 2014.

Infographics can have other uses like for web graphics, added to powerpoint presentations, email newsletters or on social media – and even many more!

Irish Lime, Clogrennane Lime Ltd (CRH Group)

Illustration infographics were designed to graphically visualise the complex step-by-step production process for Irish Lime, Clogrennane Lime Ltd.

This design request was part of a large display graphic stand AKGraphics designed for Clogrennane Lime for the National Ploughing Championships.

By designing an illustrated infographic solution of how Clogrennane Lime production works step by step this resulted in an eye catching graphic display for the audience attending their stand at the NPA Show.

Clear, effective well-designed communications makes a salesman’s job much easier at a busy trade show where high volumes of traffic exist, plus it can be a great talking point for a sale also. Strong infographics can captivate an intended audience quickly.

This particular infographic has been used for web graphics and also in a poster display, making the infographic very worthwhile for the client as it had multiple uses.

 The Department of Social Protection

The Department of Social Protection requested AKGraphics simplify text heavy statistics and a year’s worth of facts and figures regarding the full spend within each Department for 2014. The request from the Department was to illustrate an easy-to-read two-page solution of these statistics for the 2014 downloadable Annual Report.

The result from AKGraphics was a friendly colourful A3 sized infographic to portray all the information in a simplest way that made the information understandable for all ages. Key to the design of this detailed infographic was to illustrate all the different types of people that the Department of Social Protection assists on a daily basis in Ireland. Additional individual statistics were also created as infographics for The Department of Social Protection for use in house in powerpoint presentations or on social media.

Click here to see the annual report and our ‘2014 in review’ infographic on the Department of Social Protection’s website.

Carlow Warehousing

Colourful, impactful website infographics were created for Carlow Warehousing, a logistics and e-commerce fulfilment company, to visually present the smart technology offered within their vast expanding company.

AKGraphics designed the new website and also a promotional brochure to market Carlow Warehousing to a wider audience. These infographics were used as a web banner on the new website. AKGraphics also created other web graphics used on the site.

Infographics are great for your business because they have so many varied uses, in reports, promotional material, web graphics, display graphics, apps, online newsletters, powerpoint presentations or even PDF presentations.

AKGraphics apply strategic thinking to develop an effective infographic by working as a team. We make sure everything fits together seamlessly as demonstrated within all of our work. AKGraphics’ Tips: Preparing for and Surviving Tradeshows

It’s tradeshow time of year and we’ve prepared a quick 7 step ‘To Do’ list for before, during and after tradeshow events.

Tradeshows work in 3 stages: Before, During and After and the more contact you have with your target market during all of these stages the better.

1. Let your audience know you’re going to be there.

Even if you have not received your specific row / booth / stand number yet the earlier you let your target market know you’re going to be at an event the better.

This can be done via social media, printed flyers, postcards / newsletters, signage, email or newspaper ads.

2. Be easy to find.

You might not receive your row / booth / stand number until the last minute so the last thing you want is to have spent all that time promoting that you’re going to be at an event and your clients can’t even find you when it comes to it.

Utilise social media and tweet or post directions to your trade stand. Even a simple ‘We’re four stalls down from the chip van’ will help!

Once you know your location of your trade stand let your audience know.

3. Be prepared.

It’s important to be prepared. Organise in advance what it is you want to achieve and then work out your budget around that. To do this AKGraphics are here to assist regarding direction, quotations, budget, design, print and delivery.

Your trade stand needs to explain who you are and what you’re about in one glance, we recommend to keep it simple, bright and inviting. Once you’ve attracted an audience make sure that your stand is easy to navigate. Nothing will put a person off more than the thought of having to squeeze their way in and out.

With outdoor events it’s all about stability. Your displays must be secure and where they’re placed must be thought about. Again, AKGraphics are here to assist regarding layout, finish and assembly.

Tradeshows are crowded and you don’t want to be in people’s way and worse you don’t want your trade stand to be dangerous to walk around with low hanging displays or things that can trip people up.

4. Stand Out – Remember less is more.

It’s important that you get your brand and name out there but sometimes companies trade stands can be overkill and they end up driving clients away rather than enticing them in.

We inform our clients preparing for tradeshows that three key items done well will work best. These can range from flags to various different size and shape displays. We can design and supply: PVC Banners, Corriboard Signs, Marquee Graphics, Signage, Wall Graphics Flexiwalls, Flags, Promotional Clothing, Promotional Items, Flyers, Brochures, Postcards, Business Cards, Stickers, Promotional Bags, Pop-up Banners, Videos and more.

Tradeshows are about getting your brand and your product / service out there and the more attractive and inviting your trade stand the more you’ll be remembered.

5.  You’re there to entertain.

Tradeshows are big events for companies to do and can be very daunting, a few days of interacting directly and constantly with clients is hard work but the importance of doing this well can’t be forgotten.

People want to be attracted into your trade stand and promotional items are the best way to do this. Everyone loves free stuff be it a bowl of sweets or a simple tote bag that could have your logo / brand printed across it. Examples of things that we know to work are: Printed pens, notepads, keyrings, memory sticks, draw string bags, stickers and for a younger audience; setting up a scene to get people to photograph themselves at and post to social media. This is a very simple way of promoting your business as the client is doing all the work!

6. Sell your business – Your Unique Selling Point.

The point of a tradeshow is to get your name out there and get your product / service known and more importantly remembered and you want to be remembered for the right reasons and not the wrong ones.

Make sure you’re smartly presented – first impressions last.

Printed tshirts are an inexpensive and easy way to keep your staff looking smart and unified as a team.

Smile. Keep it friendly. Tradeshows are surprisingly tiring and we know exactly how it feels trying to keep cheery for the day and know it is easier said than done but it really is a point we can’t stress more. We’re repeating ourselves but you’re there to entertain your clients and give them the best impression of your business and a simple smile goes a long way.

You’d be surprised how many businesses do forget to bring business cards to tradeshows. It’d be great to think that you’d be remembered easily but tradeshows are busy and people are visiting multiple trade stands over long days so getting a printed business card and getting it out to as many people as you can will be more than beneficial.

7. Thank you.

The 3rd stage of the tradeshow is the After and it’s just as important as the Before and During.

Making sure you thank your clients for coming to see you as it keeps up positive contact and again doesn’t allow people to forget you easily.

This can be done maybe by sending a emails or printed postcard to clients which brings in a personal element.

It can also be done again over social media, email or on your website.

Hopefully this list will help you in your preparations in the run up to your tradeshow event.
